COODINATOR AT KENYA

In pursuance of the association’s desire to assist and promote the well being of its members and the people of the community in areas of Income Generating Activities, Girl-Child education, Child health and other socio-economic activities, we have put in place some organizational structures for effective management and group development.
The association has divided itself into four splinter groups of at least 25 members each with their executives.
The Association has an executive council made up of three executives from each group.

CONSTITUTION Of NYARIGA - DOONE WOMEN ASSOCIATION = BOLGATANGA

Preamble. For the interest of unity and support for one another as a cooperate body and seek the interest of each other on matters relating to livelihoods and the development of our community have given to ourselves this constitution known as the constitution of Nyariga Doone Women Association.
ARTICLE 1: NAME: The name of the group under this constitution shall be known and called Nyariga Doone Women Association herein after referred to as Women Association.
ARTICLE 1.2: OFFICE: Its registered office shall be at Nyariga Doone and its postal address shall be P.O. BOX 438. Bolgatanga and its e-mail address shall be: doonewomen@yahoo.com.
ARDTICLE 2: AIMS AND OBJECTIVES: The main objectives of he Association is to fully engage in income generating activities and agricultural production to improve livelihoods of all members and the community. To advocate, encourage and promote girl child education and child health. To fully engage in commercial basket production for export and local markets. To assist one another in times of distress and promote the interest all members and any organization with similar objectives.
ARTICLE 3: MEMBERSHIP: Membership is open to all women of Nyariga who subscribes to the aims and objectives of the Association.
One becomes a member if he/she fully pays the registration fee of GH˘5 (Five Ghana cedis) and also agree to go by the principles and objective of the Association as a mutual self understanding group with a common purpose based on conscientious building.
ARTICLE 4: SOURCE OF FUNDS: The association shall derive its source of funding from membership registration, monthly dues, donations, contracting of loans commission from basket orders and grants from agencies and NGOS.
ARTICLE 5: MODE OF COLLECTION OF MONIES: Registration fees are optional and voluntary.
Monthly dues shall be paid on weekly or monthly basis.
All donations grants and loans shall be received or paid to the treasurer. All monies shall be paid into the designated bank of the Association. ARTICLE 6: SANCTIONS: All members of the Association are subject to discipline.
A member who fails to pay his/her dues for three consecutive months shall be expelled.
A member who absents herself/himself from meeting without tangible reasons shall pay a fine of 50 GP and absent from meetings for three consecutive times without excuse shall be expelled and your dues forfeited.
Sanctions shall be applied to any member who fails to meet the contract obligation of the Association (e.g. failure to pay back loan or failure to meet the contract obligation of the Association from any Agency).
A member shall also lose her/his membership if she/he willfully refuses to participate in any communal labour organized by the Association.
ARTICLE 7: ORGANIZATION/GOVERNMENT: The supreme authority of the Association shall be vested in the General Meeting of the Association.
All decisions, plans and strategies to achieve the objectives of the Association shall be approved at the General Meetings.
ARTICLE 8: MANAGEMENT COMMITTEE: The Management Committee of the Association shall be the President, Secretary/Coordinator, Treasurer, Assistant Treasurer, Vice President, Organizer and Trustees. There shall be an Executive council as well as the Secretariat. Executives shall be elected at a General meeting.
The coordinator/secretary shall manage the secretariat on voluntary basis till a permanent staff is appointed as and when the Association has funds to do so.
The executive term of office shall be 4 years and can be re-elected for 3 terms only. Except the coordinator who is a permanent administrator.
ARTICLE 8.1: DUETIES OF MANAGEMENT COMMITTEE: The president: The president shall preside at all meetings and be responsible for the proper conduct of business of the Association.
The president shall represent the Association at all forums and in her/his absent the vice. He/she represent the Association at various meetings/workshops. He/she shall endorse all correspondents where necessary alongside the coordinator.
The coordinator: He/she shall hold office at the pleasure of the Association.
He/she shall be present at all meetings and keep or cause to be kept a correct record of all proceedings. The position of the coordinator as the founding member is entrenched as a life patron.
He/she shall also be responsible for the promotion and upgrading of the Association at all levels, including proposal writing and sourcing funding.
He/she shall be the spokesperson of Women Association at all levels internal and external including conferences. He shall be responsible for signing all official correspondence.
He/she shall be assisted by a co-opted secretary.
THE TREASURER: His/her duty shall be to receive all monies of the association and pay such monies to the accredited bank. She/he shall keep record of all financial transactions and report same to the executive meeting. He/she shall be assisted by the porter who doubles as assistant secretary.
The treasurer shall keep approved cash as impress.
The organizer: the duty of the organizer shall be to mobilized and organize all members for meetings regular and emergencies. In his/her absence the Assistant organizer.
TRUSTEE: Trustee’s acts as elders of the association and advice members and also arbitrate on internal conflicts for peace and harmony. On communal labour they will organize and draw the plan of activities and ensure full participation.
ARTICLE 9: GENERAL MEETING: There shall be an Annual General Conference (A.GC) of the Association which is the highest body of Women Association. The A.G.C. shall seek to evaluate the achievement and challenges of the Women Association and plan the way forward.
The general conference shall also address policy issues affecting its member and the larger community in which Women Association operates including the Girls School which in the brain - child of the Women Association.
ARTICLE 10: ELECTIONS: Election to any offices of the association shall be by open vote or show by hands.
Other officers may be co-opted or appointed on the approval of the general conference.
ARTICLE 11: BANK ACCOUNT: The Association shall logged its money in any recognized bank chosen by a resolution of the Association at the General Meeting. The accounts shall be a group savings account.
Signatories to the account shall be the President, Coordinator and Treasurer. Any two signatories can sign for withdrawals.
ARTICLE 12: AUDITS: The accounts of the Association shall be audited once in a year and copies of the audit report read at the annual general conference. The executive board shall engage the services of an auditor to audit the accounts.
ARTICLE 13: BENEFITS: Benefits to be derived by members shall include loans, share dividends, mutual assistance to ill-health, death and other tasks.
ARTICLE 13.1: LOANS: Members shall be entitled to loans from the association to enhance their businesses after two year successful operation of the Association. A member shall be entitled to double of his/her savings (100% of your savings).
ARTICLE 13.2: SHARE DIVIDENTS: All members are entitled to any share or dividend accrued to the association from any transaction (e.g. sale of baskets, grants etc.).
ARTICLE 14.1: ILL-HEALTHS: Members shall assist to weave for any member who receives an order of baskets and fall sick or inability to weave due to any calamity.
ARTICLE 14.2: DEATHS: In case of death of a registered and fully paid member, the Association shall meet to decide in amount to be donated to the decease children and such donations shall be shared equally to all
members to contribute. The executive shall negotiate with the decease family on the question of assets and liabilities of the member in the Association.
ARTICLE 14.3: OTHER TASKS: Members shall assist one another in turns to accomplish their house chore activities where necessary (including home maintenance etc,).
ARTICLE 15: AMMENDMENTS: The constitution shall be subject to amendment only at the Annual General Conferences and motions seeking alterations shall form part of the conferences agenda.
ARTICLE 16: ADOPTION: This constitution which is the working document of Nyariga-Doone Women Association herein referred to as the Constitution of Nyariga-Doone Women has on this 27th day of June two thousand and eight of the year of our Lord has been adopted. So help us God.
